ITAD: Overview

How-ToIT Asset Disposition (ITAD)Updated 23/04/2026
An introduction to IT Asset Disposition in DemandFlow. Covers disposition orders, asset triage, data sanitisation, certificates, shipments, and the end-to-end disposal workflow.

IT Asset Disposition (ITAD) manages the secure, compliant disposal of IT assets at end of life. Whether you are running a hardware refresh, closing an office, decommissioning a server room, or disposing of a single damaged laptop, ITAD provides the structure, audit trail, and compliance evidence you need.

What the module covers

  • Disposition orders group assets into batches for coordinated processing. Each order tracks the ITAD vendor, collection site, financial estimates vs actuals, and environmental impact.
  • Line items represent individual assets on an order. Each line tracks condition grading, disposition route (remarket, recycle, destroy, donate), data sanitisation results, and value recovery.
  • Wipe records provide per-drive verification of data sanitisation, with NIST 800-88 compliance levels and pass/fail tracking.
  • Certificates capture formal compliance evidence: data destruction certificates, recycling certificates, WEEE compliance, and duty of care documentation.
  • Shipments track collections and secure transport with chain of custody, seal numbers, GPS tracking, and hazardous goods handling.

Where to find it

In the sidebar, navigate to IT > ITAD. The section contains:

  • Disposition orders for managing batches
  • Destruction methods for configuring processing methods
  • Material compositions for precious metal and hazardous material tracking

Line items, wipe records, certificates, and shipments are accessed from within their parent order rather than from the sidebar directly.

The end-to-end workflow

  1. Create an order for the batch of assets being disposed. Set the type, vendor, and site.
  2. Add assets to the order as line items, either by linking existing IT Asset records or entering details manually for untracked equipment.
  3. Triage each asset: grade its condition (A through D or non-functional) and decide the disposition route.
  4. Sanitise data: run wipe processes and record per-drive results. Flag failed drives for physical destruction.
  5. Process each asset according to its route: remarket, refurbish, recycle, destroy, donate, or return to vendor.
  6. Create shipments for collection and transport. Record chain of custody with seal numbers and tracking.
  7. Issue certificates: data destruction, recycling, WEEE compliance, or duty of care as required.
  8. Complete the order once all assets are processed and certificates verified.

Getting started

  1. Configure destruction methods if the defaults do not cover your processing requirements.
  2. Create your first disposition order. See Creating disposition orders.
  3. Add and triage assets. See Triaging and processing assets.
  4. Handle data sanitisation. See Data sanitisation and wipe records.
  5. Issue certificates. See Certificates and compliance.
