Overview
If your portal collects personal information (through user accounts or ticket submissions), you should provide clear legal pages that explain how data is handled. DemandFlow portals support two legal pages: a Privacy Policy and Terms of Use.
Adding Legal Pages
Open your portal in the portal settings area. The legal page fields are found in the Legal Pages section of the portal editor. Both pages accept formatted text content.
Privacy Policy
Your privacy policy should explain:
- What personal data is collected (names, email addresses, ticket content)
- How the data is used
- How long the data is retained
- Who has access to the data
- How users can request data deletion or access
- Cookie usage (if applicable)
Terms of Use
Your terms of use should cover:
- Acceptable use of the portal
- User responsibilities
- Limitations of liability
- Intellectual property rights
- Account termination conditions
Where Legal Pages Appear
When content is provided, links to the Privacy Policy and Terms of Use pages appear in the portal footer. They are accessible from every page of the portal.
Best Practices
- Consult your legal team before publishing legal pages — DemandFlow provides the hosting mechanism, not legal advice
- Keep the language clear and understandable, avoiding unnecessary legal jargon where possible
- Review and update legal pages regularly, particularly when regulations change
- If your portal collects data from users in the EU, ensure your privacy policy addresses GDPR requirements
