How to use the Sync Intune Devices action to import and update IT asset records from Microsoft Intune.

The Sync Intune Devices action on the IT assets grid toolbar connects to your Microsoft Intune tenant and imports or updates device records automatically.

What the sync does

DemandFlow calls the Microsoft Intune API and retrieves the current device inventory. Each device is matched against existing asset records by serial number. Matches are updated; unmatched devices create new asset records.

Fields populated

  • Device name (hostname)
  • Serial number (matching key)
  • Manufacturer and Model
  • OS name and OS version
  • Last check-in date
  • Compliance state
  • Enrolled date
  • User assignment

When to use

  • Initial fleet import: populate your asset register in one step.
  • Periodic refresh: run weekly or after each device refresh cycle.
  • New device onboarding: after enrolling a batch of new devices.

Prerequisites

The Microsoft Intune integration must be configured in your tenant settings before the sync action appears on the toolbar.

What the sync does not do

The sync does not delete or decommission asset records when a device is removed from Intune. Retirement is a deliberate decision handled through the Retire action or the ITAD workflow.

Tips

  • Run a sync after each device refresh cycle.
  • Review matched vs newly created counts after each sync.
  • Use last check-in date to identify stale devices that may be lost, stolen, or decommissioned outside your normal process.
