How to track asset collections and secure transport: shipment records, chain of custody, tamper-evident seals, and hazardous goods handling.

Shipment records track the physical collection and transport of assets from your site to the ITAD processing facility. They provide chain of custody evidence and handle hazardous goods compliance.

Creating a shipment

From the disposition order, click Create Shipment in the toolbar, or navigate to the Shipments panel and click Add existing ITAD Shipment.

Shipment details

  • Name: identify the collection (e.g. "Collection 1, Ground Floor").
  • Status: Scheduled > Collected > In Transit > Delivered > Confirmed.
  • Collection Date and Delivery Date.
  • Collection Site: where the assets are being collected from.
  • Delivery Site: the processing facility name and address.
  • Carrier, Vehicle Reference, Tracking Reference.

Contents

  • Asset Count, Total Weight (kg), Pallet Count, Container Count.
  • Manifest Reference: packing list or manifest document number.
  • Seal Number: tamper-evident seal number for chain of custody. Record this number at collection and verify it on delivery. A broken or missing seal indicates a custody breach.

Security

  • Secure Container: whether assets are transported in a locked, sealed container.
  • GPS Tracked: whether the vehicle is GPS tracked during transit.
  • Security Cleared Personnel: whether the collection and transport crew have been security vetted.

Hazardous goods

When Hazardous Goods is set to Yes, additional fields appear:

  • Hazardous Description: what hazardous materials are present (e.g. lithium batteries, mercury-containing LCD panels).
  • ADR Compliant: whether the shipment complies with the European Agreement on Dangerous Goods by Road.
  • Waste Transfer Note: consignment note reference for hazardous waste.

Tips

  • Record seal numbers at both ends of the journey. Matching seal numbers at collection and delivery proves unbroken chain of custody.
  • Always flag hazardous goods. Lithium batteries in laptops are common and require proper documentation.
  • Upload proof of delivery and signed manifests in the Documents panel.
